FOR OUR PATRONS

LATE SEATING
Due to the intimate nature and the layout of the Phoenix Theatre, there will be no late seating.  For shows that have an intermission, you will be seated after intermission.  No refund will be forthcoming.  We recommend arriving 15-20 minutes before showtime.  Performances begin promptly at the scheduled times.  Please arrive 15-20 minutes before showtime.  Those arriving late will not be seated until after intermission.  Online tickets are available for purchase up to three hours prior to performance times. The Public Theatre of Kentucky's Box Office, located inside the Phoenix Theatre, opens for ticket sales one hour before performance times on show days only. If tickets are still available, they may be purchased at the door at this time.  

TICKETING POLICY
No refunds on ticket purchases.  The only exceptions are medical emergencies or cancellations on PTK's part.  Tickets can be exchanged for a different performance or production if PTK is notified before the showtime of the purchased ticket(s).  Alternatively, we would be happy to consider your purchase a donation and send you a tax credit letter in the amount of your purchase.

CELL PHONES ARE NOT ALLOWED INSIDE THE THEATER

LOUD TALKING, CELL PHONES/ELECTRONICS, and DISRUPTIONS DURING PERFORMANCES
Due to disruptions and unauthorized photography and filming, cell phones and electronics are no longer permitted inside the theater.  If you are on-call, we ask that you leave your device with the front-of-house staff or an usher.  If you are seen with your cell phone or tablet out during a show, you may be asked to leave.  Disruptions are not tolerated.  If anyone disturbs the audience or interferes with the performance, the patron will be required to leave with no refund forthcoming.

FOR OUR CAST & CREW

CELL PHONE AND ELECTRONICS POLICY

  • We recognize the importance of cast and crew members having cell phones and other electronics in order to stay in contact with family and parents. However, it has recently become a huge distraction. We require that the auditorium be silent during rehearsals and that performers and crew members pay attention so that they can learn from one another, retain direction, and so that they do not miss their own cues. Cell phone use is permitted on breaks only. Cell phones and electronics must be turned off and if we find that they are being used excessively or interfering with rehearsal, we will ask that the phones and electronics be turned in, and they will be locked up until the end of rehearsal, each night.

  • Parents will be given the stage manager’s phone number to use in the event of an emergency.

  • During productions, cell phones and electronics must be turned off to avoid distractions, missing cues, and unnecessary noises. If issues arise, phones will be collected before each performance.

 

THE PUBLIC THEATRE OF KENTUCKY IS A BULLY-FREE ZONE.

  • Definition of a Bully: Someone who intentionally causes physical or emotional harm to someone else as a way to gain power or influence, in person, by cell phone, or online.

  • You are acting like a bully if you: Make derogatory comments or call bad names to someone’s face or behind their back, spread lies with gossip or rumors.

  • Make efforts to socially exclude or isolate someone

  • Physically abuse someone by hitting, kicking, shoving, and spitting, etc.

  • Take money or other belongings from someone

  • Force or pressure someone to do something against their will or encourage them to do something inappropriate

  • Brag about your abilities, talents, and roles or criticize the talents and abilities of others

If you recognize bullying

  • Get help from an adult.

  • Stand up for what’s right.

  • If you hurt someone, apologize and make it right!

  • PTK staff does our best to monitor and understand all social situations between the cast and crew while at PTK. Issues outside our program must be handled between cast and crew members and their parents.

NON-DISCRIMINATION POLICY
It is the policy and commitment of the Public Theatre of Kentucky that it does not discriminate on the basis of race, age, color, sex, national origin, physical or mental disability, sexual orientation, or religion.

CONFLICTS
Cast and crew members are required to create a conflict list ahead of casting to let the director know when they are unable to rehearse. This conflict list must be strictly adhered to. All casting and rehearsal schedule decisions are made based on this list. You may not add conflicts later.  It is important to be truthful about conflicts and obligations. Casting decisions can be influenced by availability and excessive or added conflicts may result in removal from the show. Not all cast members will be scheduled for every rehearsal or for the entire rehearsal session.

ABSENCES
You may not miss rehearsal other than pre-stated conflicts. Unlike most activities, when a cast or crew member is missing there is no one who can fill in. An unscheduled absence requires everything to be relearned the next rehearsal and sets the whole show back. Due to limited rehearsal time and cast size, we will not be able to go back and re-teach or re-block scenes for students who are absent. If a cast member misses a rehearsal, they may not be placed in that particular number or scene. A detailed schedule will be given out in advance. It is extremely important that you keep track of the schedule and which days your character is scheduled. In the case of illness or emergency, we ask that you notify the stage manager as soon as possible. It is your responsibility to reach out to the stage manager for blocking, music or choreography notes learned that day. If you have a fever or stomach virus, please remain home until you are 24 hours symptom-free.  A doctor’s note is appreciated.

REHEARSALS/PERFORMANCES – DROP OFF/ PICKUP:
Rehearsals start promptly. It is important that cast and crew members are dropped off and picked up promptly. If cast or crew members are late, they need to contact the stage manager and let them know as soon as possible. The days are planned around each person’s availability so when you are late, the whole rehearsal is held up. If you are late you may miss out on opportunities to be in scenes or musical numbers.

Students under the age of 16, must be signed in and out by a parent. Please walk your child to the theater doors and wait outside the doors to pick up your child. Students 16+ can sign themselves in and out. You must pick up and drop off on time and communicate if there is a problem. That said, we will never leave a cast or crew member at the theater unattended.

On the first day of rehearsal, we will have a carpool permission form and you may list any adult, other than yourself, that has permission to pick up your child. We will not release your child to anyone other than the individuals you have given us written permission to release them to.

TECH WEEK
Attendance is mandatory for ALL tech rehearsals. Missing a mandatory rehearsal may result in being removed from the show.

PARENT VOLUNTEERS
Parents who sign up for a volunteer position are expected to follow through with this commitment. We are a small organization that provides affordable, and sometimes free, programming and the only way we can continue to provide high-quality programming like this is with the committed help of parents and the community. Every cast and crew member is required to have one adult volunteer in attendance for at least one performance and workdays such as load-in, build days and strike (moving the set out of the Phoenix Theatre).

COSTUMES
At the beginning of each rehearsal process, we will send a detailed list of what each cast member needs for a costume. It is not mandatory for parents to provide costumes. If you are unable to provide a costume piece, you must email the costumer with the performer’s name, character name, item(s) needed, and size by the date specified.  A costume form will be provided.

CLOSED REHEARSALS AND PERFORMANCE EXPECTATIONS
During performances, no one except cast, crew, and volunteers will be allowed backstage. We realize that it is fun to say "Hi" to your friends and family, but the actors need to be focusing and concentrating on their characters and the performance.  Parents and friends are not permitted in the room during rehearsal. This is the easiest way to make sure that everyone in the room is a safe and trusted person. It also allows the cast and crew to feel like they can work without an audience. 

BEHAVIOR AND DISMISSALS POLICY
Every cast and crew member and parent is expected to be a kind, loving, hardworking advocate and member of this community. If a cast or crew member or parent is not able to be a positive part of the Public Theatre of Kentucky, the family may be asked to leave the show or program. It is our goal that every person involved feels that PTK is a safe place and that no one’s educational and artistic growth is impeded by another cast or crew member or parent’s poor behavior. All staff members must be treated with respect. If a behavior issue arises with a participant, we will first address it with the participant directly, and then involve parents if needed to resolve the problem. Inappropriate behavior from parents will be addressed through our Board of Directors.

DO NOT BRING VALUABLE ITEMS TO REHEARSAL; PTK is not for any lost or stolen item or items.  It is the responsibility of every cast and crew member to keep up with their own property.
